Student Residence Halls – information for students

How to submit an application?

Applications should be submitted only electronically using the USOSWEB system.

Login to USOSweb is done using the login and password sent by the university. To fill out the application, after logging into the system, select the tab COMMON SECTION -> APPLICATIONS -> LIST OF APPLICATIONS -> application for dormitory for academic year 2023/24.

ATTENTION!

Places in residence halls are allocated according to the order set out in the Student Benefits Rules:

  1. a) persons holding a valid disability certificate, a disability certificate or a certificate referred to in Art. 5 and Art. 62 of the Act of 27 August 1997 on Vocational and Social Rehabilitation and Employment of Persons with Disabilities (Journal of Laws of 2019, item 1172, as amended)
    Attention! The decision must be registered with the Office for Accessibility and Support of Persons with Disabilities no later than the last day for receipt of applications indicated above,
    b) persons with special health needs, which they experience during a period of at least 6 months prior to the date of submission of the application for accommodation in the DS, according to a certificate issued by a specialist doctor.
    Attention! The medical certificate must be registered with the Office for Accessibility and Support of Persons with Disabilities no later than the last day for receipt of applications indicated above.
  2. persons who are orphans or semi-orphans, provided that a scan of a document confirming orphanhood or semi-orphans is attached to the application in the USOSweb system, and in the case of a document issued in a language other than Polish – also its translation made by a sworn translator in Polish,
  3. full-time students living more than 40 km from the university,
  4. full-time students living less than 40 km from the university,
  5. part-time students living more than 40 km from the university,
  6. part-time students living less than 40 km from the university,
  7. other persons not listed in points 1-6 and persons not listed in point 8,
  8. persons who in the previous academic year resided at DS and received a disciplinary measure such as: a written warning or a written reprimand.

Points 2 to 6 apply to Polish citizens and foreigners referred to in Art. 324 para. 2 points 2-8 PSWiN.

Applications within individual groups are considered according to the order of applications!

Essential information on processing of personal data
  1. Controller
    The controller of personal data is SGH Warsaw School of Economics with its seat in Warsaw, al. Niepodległości 162, 02-554 Warsaw, hereinafter referred to as SGH.
  2. Data Protection Officer
    You may contact the Data Protection Officer designated by SGH via e-mail iod@sgh.waw.pl
  3. The purposes and legal basis of processing of personal data
    The personal data provided by you will be processed in order to ensure the organization of places in the Student Residence Hall of SGH No. 1 “Sabinki” for the academic year 2023/24. The legal basis for the processing of personal data is Art. 6 para. 1 lit. b GDPR (processing is necessary to take steps prior to the conclusion of the contract and its subsequent performance).
  4. Obligation to provide personal data
    Providing personal data is voluntary.
  5. The period for which the personal data will be processed
    The personal data provided by you in the form will be processed for the time necessary to organize places in the Student Residence Hall during the academic year 2023/24 period, i. e. until 30.06.2024.
  6. The recipients of personal data
    As a rule, personal data will not be disclosed to other entities, except entities authorized by law. If the administrator uses the services of other entities, personal data may be disclosed to them on the basis of agreements entrusting the processing of personal data, and these entities will be obliged to maintain the confidentiality of the processed data.
  7. The rights of data subject
    You have the right to access the content of your data, to rectify it, to delete it in cases provided for by law or to restrict processing.
    The personal data provided by you will not be subject to profiling or – based on these data – no decisions will be made in an automated way.
  8. Information on the right to lodge a complaint
    If you consider that the processing of your personal data infringes upon GDPR, you have the right to lodge a complaint with a supervisory authority.
The reserve list

Registration for the reserve list for the academic year 2023/24 starts on 15 September 2023 at 9:00 a.m.

To subscribe to the list, please fill out the form.

The reserve list is made available for persons who have not submitted their application for a dormitory in time or whose application has been rejected. Enrolment in the reserve list takes place throughout the academic year.

The room allocation will be communicated by phone or e-mail. The place is open for 48 hours. At the end of this period, it is assigned to another person.

Rules for accommodation from the reserve list:

In order to receive a place in one of the SGH student residence halls, please fill out the form and click “Submit”. Places for students whose names have been placed on the waiting list are allocated on a first come, first served basis, with priority given to SGH undergraduate, graduate and doctoral students.

Students from the waiting list can get a place if there is a vacancy in a men’s or women’s room in the residence halls. A student from the waiting list who has been allocated a place may check in the residence hall within 48 hours of getting the relevant notification from administration of the residence halls by telephone or e-mail.

Information on processing of personal data

  1. GDPR (processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract).

  3. Purposes and legal basis of processing of personal data
    Your personal data will be processed for the purposes of organisation of places in the Residence Hall in the 2023/2024 academic year. The legal basis for processing of personal data is point (b) of Art. 6 (1) GDPR (processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract).
  4. Obligation to provide personal data
    Providing personal data is voluntary.
  5. The period for which the personal data will be processed
    Personal data provided in the form will be processed for the period necessary to ensure operation of the Residence Hall in the 2023/24 academic year.
  6. Recipients of personal data
    As a rule, your personal data will not be disclosed to other entities, except entities authorized by law. In the case the controller uses the services of other entities, the personal data may be disclosed to them based on data processing agreement, and such entities will remain under obligation of confidentiality regarding the processed data.
  7. The rights of data subject
    You have the right to access and rectify your data, and to restrict processing thereof, as well as to remove your data in the cases specified by law. Your data will not undergo profiling and no automated decision-making will be conducted based on these data.
  8. The right to lodge a complaint
    You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data infringes upon GDPR.
How to get a place in the student’s house?

Rooms are allocated by the Student Housing Committee, i.e. by the students themselves. Students who want to live in a specific room must write an e-mail to the Committee after receiving a positive decision about place allocation.

In the event that several people wish to live in a specific room, the Committee will allocate a place to one student, based on the following considerations:

  • the cumulative average grade from the entire course of study,
  • the number of years spent in student residence halls,
  • social activity for the benefit of student residence halls.

Students who want to live in a double room with a roommate of their choice must also notify the Committee, and the Committee will take this fact into account when allocating places.

First-year students get places in free rooms.

Check-in

To check in successfully, please prepare: 

  • identification document, for instance ID card or passport,
  • student ID card or PhD student ID card,
  • current ID card photo.

Upon check-in, students receive a set of bed linen, a room key and an individual resident card.

In accordance with the Rules, students must check in within a period of 14 days which begins seven days before the start of the academic year, i.e. usually between 23 September and 8 October. Students who fail to check in on time will lose their allocated place. Students who cannot check in within the specified period should notify the residence halls by sending an email to the Student Housing Office. 

Accommodation in the Sabinki dormitory for the spring semester of the academic year 2023/2024 starts on February, 19 and lasts until March, 3.

During the check-in period, administration staff work Monday to Friday from 8:00 a.m. to 3:00 p.m.

Price list for summer 2023
  1. SGH students and doctoral students:
    1. Single room:
      • 60,00 PLN – per night/person,
      • 900,00 PLN – 1 month/person;
    2. Double room:
      • 50,00 PLN– per night/person,
      • 730,00 PLN – 1 month/person
  2. Guests of the persons mentioned in point 1 who stay at the SGH student’s home between 2a.m. and 7:30 a.m. pay a fee of 40,00 PLN each time.
  3. Spouses of SGH students and doctoral students, graduates of SGH, persons admitted and qualified for admission to studies at SGH, students and doctoral students of other universities and their spouses:
    1. Single room:
      • 65,00 PLN – per night/person,
      • 970,00 PLN – 1 month/person;
    2. Double room:
      • 55,00 PLN – per night/person,
      • 800,00 PLN – 1 month/person;
  4. Other persons:
    1. Single room: 130,00 PLN – per night/person;
    2. Double room: 110,00 PLN – per night/person.
  5. Guests of the persons mentioned in points 3 – 4 who stay at the SGH student’s house between 2 a.m. and 7:30 a.m. pay a fee of 55,00 PLN each time.

  5. Guests of the persons mentioned in points 1 – 4 who stay at the SGH student’s house between 2 a.m. and 7:30 a.m. pay a fee of 50,00 PLN each time.
  6. Additional fees referred to in para. 1-3:
    • 1100,00 PLN individual deposit,
    • 50,00 PLN for a duplicate resident card,
    • 150,00 PLN for leaving an uncleaned room at check-out,
    • 100,00 PLN for putting rubbish from the room to the corridor,
    • 100,00 PLN for taking garbage to kitchen garbage bins,
    • 100,00 PLN for breaking the ban on smoking,
    • 200,00 PLN for pollution of public areas.

Grosik dormitory

  1. SGH students and doctoral students:
    1. Single room
      • 36,67 PLN – night/person,

    2. Double room

  6. Additional fees referred to in para. 1-3:
